If you visit or communicate with We Do Democracy, e.g. because you are participating in a citizen gathering, applying for a job or similar, you should know that we process personal data about you as part of our operations and administration.

You can read below what information is involved and what your rights are.

What personal data do we process?

We Do Democracy processes the personal data you provide to us, such as your contact information and the information that is the reason for your inquiry.

In connection with citizen gatherings, We Do Democracy acts as secretariat and data processor for Democracy Garage, where We Do Democracy receives a list from our data processor Analyse & Tal with first name, phone number and email, which we use to establish contact with the citizens who have been selected to participate in the citizen gathering.

After the Citizens’ Assembly is over, we delete the stored personal data after a maximum of 6 months.

As part of the illustration of everyday life at We Do Democracy, we also take photos and films on site, primarily situational and mood shots. Images and films may be published on our website and through various media (e.g. on our social media profiles, in printed publications, on posters, school information screens and in e.g. newspapers, magazines and on TV).

If you don’t want to be photographed or filmed, you can tell the photographer. In addition, you should also be aware of staying out of situations where you are being photographed or filmed. If you are photographed or filmed by mistake and the photograph/film is shown on our website, for example, you can always contact us and ask for it to be removed.

Where is your personal data processed?

The personal data that We Do Democracy processes will be processed and stored in our IT systems, to which only trusted employees with tasks that specifically justify it have access.

Your rights

The right to be informed about the processing of your personal data

You have the right to know that we process personal data about you and why, cf. Articles 13 and 14 of the GDPR. You can find this information here. If you would like more detailed information, you are always welcome to contact We Do Democracy (see contact details below).

The right to access

You can gain insight into what personal data we process about you, what the purpose of the processing is, how long we store your personal data, where we have the data from (if we have not received it from you) and who we may disclose your data to, cf. Article 15 of the General Data Protection Regulation.

However, your right of access may be limited if private interests, confidentiality of third party information or confidentiality in public administration so require, cf. section 22 of the Danish Data Protection Act.

The right to object

You can object to our processing of your personal data and, where applicable, demand that the data be deleted, rectified or restricted, cf. Article 21 of the General Data Protection Regulation.

The right to rectification

You can have personal data about you that is incorrect or incomplete corrected or supplemented in accordance with Article 16 of the GDPR.

The right to restriction of processing

You have the right to restrict our processing of your personal data if there are special grounds for doing so, cf. Article 18 of the General Data Protection Regulation.

The right to erasure

We retain your personal data for as long as it is necessary for We Do Demoracy’s/Democracy Garage’s need to document our administration and operations, including to the audit. We rarely retain personal data for more than 5 years from the end of the calendar year to which the record relates.

How to exercise your rights

You must contact We Do Democracy’s Data Protection Officer (contact details below) and state which right you wish to exercise and why. We will then check if we agree with your request. If we don’t immediately agree, you’ll hear from us with a reason why your request cannot be met. If so, you will be given the opportunity to express your opinion before we make a final decision on whether your request will be granted. Our decision on this must follow the rules of the Danish Public Administration Act on consultation, justification and complaint guidance, cf. Sections 19-25 of the Danish Public Administration Act.

Formalities

We Do Democracy/Demokrati Garage is the data controller for the processing of personal data we have described above.
